Jotgenie is a service by Puzzlcat Software PTY Ltd. ("we", "us", or "our") recognizes the importance of your privacy and is committed to protecting the personal information that you share with us in connection with the use of our services. This Privacy Policy explains our practices regarding the collection, use, and disclosure of information when you use our transcription and meeting summary services.

1. Information We Collect

1.1 Personal Data

When you create an account with us, we may ask for certain personally identifiable information, including but not limited to:

  • Email address
  • First and last name
  • Organisation name

1.2 Audio Recordings and Transcriptions

We collect and store audio recordings of your meetings, along with any transcriptions, summaries, minutes, and action points that are generated from these recordings.

We create your transcriptions & summaries using services by OpenAI OpCo, LLC.

How OpenAI (our data processor) handles your data.

The OpenAI API is SOC 2 Type 2 compliant and has been audited by an independent third-party auditor against the 2017 Trust Services Criteria for Security.

Any data sent through to Open AI will be retained for abuse and misuse monitoring purposes for a maximum of 30 days, after which it will be deleted (unless otherwise required by law).

The OpenAI API is only available over Transport Layer Security (TLS), and therefore customer-to-OpenAI requests and responses are encrypted.

OpenAI will not use data submitted by customers via our API to train or improve our AI models.

We do not train on your business data

You own your inputs and outputs (where allowed by law)

2. How We Use Your Information

The information we collect is primarily used to provide and improve our services, and to enable you to enjoy and easily navigate our platform.

2.1 To Provide and Maintain Our Service

We use the audio recordings to generate transcriptions, summaries, minutes, and action items for your audio recordings.

2.2 To Improve Our Service

We may use feedback you provide to improve our products and services.

3. How Long We Store Your Information

During processing, your audio recordings are stored on our servers for a short period of time. Recordings are then deleted or kept depending on your user settings on the website.

4. Information Security

4.1 Data storage

Please be advised that your email, firstname, surname, transcriptions & summaries are securely stored on Google Cloud Platform servers. We would like to emphasise that Google maintains and enforces rigorous security protocols to uphold the utmost privacy and integrity of all data. It is important to note that access to data stored in Google Cloud Platform databases is strictly restricted to authorized personnel who have undergone proper authentication procedures.

4.2 Data Retention

We retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your personal data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

5. Google Calendar Access

Jotgenie uses Google Calendar to remind you to use our service when attending meetings, scheduled in Google Calendar, on Google Meet.

Jotgenie's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
